What is HistoryFile?

HistoryFile is a employment history database. The database contains information about a variety of factors that influence the hiring and retention decisions that HR managers have to make. The HistoryFile system stores employment history such as degree certifications, performance evaluations, salary, behavioural aspects, organisation culture and more. This system will help both employees and employers understand each other better. There are quite a few tools that are being developed for HR decision making. Why should I use HistoryFile?

HistoryFile is a growing system of people, technology and business processes that can help you get the job you want, move to a job you like or help you as an HR manager to improve your the way your firm handles hiring and retention.

As the name sounds, HistoryFile is a database containing employment history of people. The reason behind HistoryFile is to have a common industry-wide database so that both employees and employers can see how valuable their human resources are.

If you are an employee, signing up will provide you the ability to look for a new job or transition from a job more smoothly. You will also be able to see other factors such as how much others with your job skill is being paid, other career options and more.

If you are an employer, signing up will provide a clearer view of the employee you hire (not just their educational qualifications). If you are up sizing or down sizing your firm or department, HistoryFile will provide you the data about people to ensure success. If you become HistoryFile compliant, then there are many tools that you can use (you may even propose HR tools). You also have the ability to create unlimited job and vacancy posting on HistoryFile system!

If you are recruiter or placement agency, you may use our HistoryFile system to increase your placement success by understanding the history of the people you place.

If you are a university or college, using HistoryFile will help your students understand the job market for their field of study. If you become HistoryFile compliant, then recruitment can be a smooth transition. Use of HistoryFile is free for your students!

What is the process of registering myself on HistoryFile?

    As an employee

Point your web browser to http://historyfile.net On the very first page, you shall see a link below the login which says �Register as a new user or employee�. Click on this link and fill up the registration details asked for and then click the submit button. A confirmation email and a password will be sent to the email address you provided registration details page. Please check your email after a few minutes. You will find a mail from HistoryFile . Check you Junk/Spam mail folders if you do not see this mail in your Inbox. Return to the web page http://historyfile.net and login using your email address and the password that you found in your Inbox (or mail). You should be able to see the Menu page right after you login. It is recommended that you change your password right now.

    As an employer

To register as employer, you will have to first have to register yourself as a new user or employee (see link above). Once you are registered, then you will have to insert an employment history record. The reason behind this is based on the assumption that everyone is employed by a firm or an organisation (if you are self-employed, you are employed by �yourself�!). Therefore you need atleast one employment history record to add the firm you are employed by. After registering as a user, click on the �Add/Modify Employment Records�. This will take you to the Employment History page. Now click to add a new employment history record using �Insert a new Employment History record Click here�. On the Employment Record Page you will see that the text box beside Employer Name is disabled. You will have to use the �Click here to select� link beside the text box and pop up window will open. Near the bottom of this window you shall see the option �Click to add new employer�. Once you click this option, HistoryFile will take you to the employer registration pages. Please fill in all the details that is asked and once completed, you will be taken back to the Employment Record page. You should able to select the State that your firm is in and it will show up in the Firm pull down list.

    As a recruiter or placement agency

HistoryFile is in the process of providing APIs for recruiters and placement agencies to connect to the HistoryFile system. Please register yourself and your firm with HistoryFile. We encourage you to use the contact us form to mention what data and sorts of processes you would like to see when accessing the HistoryFile system and we will work with you to make sure you get the data you require in the format you like. The expected release of recruiter APIs will be during May 2010. In the mean while you may choose to work as a hiring firm using HistoryFile, i.e. you are hiring an individual for your firm.

    As a teaching college or university

We at HistoryFile are very interested in having colleges and universities as part of our system. Please use the same process that is mentioned for an employer, however, select �Education� from the type of Industry pull down list. Then follow the directions on your computer. We are still building theis part of HistoryFile so we request you get in touch with us (use the Contact Us link) if there is any problems that you face. We also encourage you to become HistoryFile compliant so that campus recruitment for students can be made more effective and efficient.

What are the security and privacy policies of HistoryFile?

Our security policies are quite standard. We do not divulge any information about anyone or any firm, to unauthorised personnel. We also track all data accesses and authorisations given by us to users, for navigating the system. Please read our contract requirements to ensure you are HistoryFile compliant. In future we do hope to make HistoryFile more secure using the 128 bit secure socket layer (similar to online banking websites) for select pages. What is HistoryFile compliance?

An organisation is HistoryFile compliant when the HistoryFile system is able to capture all the required information about the organisation's employees. An organisation does not need to be HistoryFile compliant, however, being compliant means the organization has special privileges when using the system, e.g. lower annual fees, preventive employee turn over and many more. HistoryFile caters only to the Hospitality (Hotel and tourism), Education, BPO/KPO/ITes, Medical, Retail/sales, Banking/Insurance, Manufacturing, Software/IT, Telecommunication, and Construction industries.

What is my responsibility when using HistoryFile services?

    As an employee

You are responsible for the data that is stored on the HistoryFile system about you. Periodic checks should be made by accessing the HistoryFile website to ensure you are up to date with the HistoryFile system. It is recommended that you check the HistoryFile website atleast twice a year. Please read our Terms and Conditions for the use of this system.

    As an employer

You are responsible for the data that is stored on the HistoryFile system about the firm/organisation. Periodic checks should be made by accessing the HistoryFile website to ensure you are up to date with the HistoryFile system. It is recommended that you check the HistoryFile website atleast four times a year. Please read our Terms and Conditions for the use of this system.     As a recruiter or placement agency

Your responsibilities are the same as an employer. Once we have the recruiter APIs ready we will get you your specific responsibilities too!

What is the advantage of using HistoryFile as compared to a recruiting agency?

HistoryFile is free! Well, only for employees who are looking for jobs. In future employees and employers on the HistoryFile will be verified. What this means is that their official documents (e.g. PAN, degree certificates, etc) have been checked and found to be true. The process of verification is true a peer - based network.

For firms/employers, HistoryFile will be a better option because of a couple of reasons : very high volumes of transactions happening on our servers makes our operating costs are much lower than other job websites. What this means for you as an HR manager is cheaper ways to attract and retain employees. Another reason is that we follow a highly automated process to deliver you value, so if you would like to retain your recruiting consultant, just ask them to use our system to get the data about potential employees from HistoryFile.
